Day Care Registrar
Job Description
Role: The Family Day Care/School Age Child Care Registrar implements the Registration contract within the terms set by the Office of Children and Family Services (OCFS) and according to the policies and procedures of the Child Care Council of Dutchess and Putnam, Inc. (CCCDP).
CCCDP maintains two office locations to serve the child care communities in both Dutchess and Putnam Counties. The main location is the Dutchess County office with a satellite office in Putnam County.
The Registrar reports to the Registration Supervisor.
Registration Responsibilities:
- Become knowledgeable of Family Day Care (FDC) and School Age Child Care (SACC) Regulations.
- Maintain a caseload of Putnam and Dutchess County FDC and/or SACC child care providers.
- Assist potential providers in completing the initial registration packet.
- Assist providers in completing the renewal registration.
- Conduct informational meetings, initial site visits, quarterly site visits, safety assessments, and complaint investigations as required by the Registration Supervisor, as part of the registration process and to fulfill the Registration Contract.
- Investigate complaints, as required by the Registration Supervisor, and complete related reports in a timely manner.
- Maintain required computerized information on child care providers.
- Maintain required records for the quarterly Registration audit.
- Perform mandatory site visits to child care providers to assure adherence to OCFS regulations.
- Provide informal technical assistance to providers through telephone, email and personal consultation.
- Conduct training, as required by the Registration Supervisor, on regulations and other topics on best practices.
- Attend meetings and conferences as required by OCFS and/or Westchester Regional Office (WRO).
- Communicate provider issues to the Registration Supervisor.
- Prepare reports pertaining to the Registration contract as required by the Registration Supervisor or the Executive Director.
- Participate in continuing educational activities such as seminars, workshops and professional conferences, as approved by the Registration Supervisor or the Executive Director.
- Attend training workshops, conferences and community events representing CCCDP and promoting registration of homes and programs as approved by the Registration Supervisor or the Executive Director
- Submit expense reports monthly to the Registration Supervisor for approval.
- Submit monthly mileage report to Registration Supervisor for approval.
- Maintain professional phone etiquette with providers and Child Care Council staff members.
- Maintain professional and supportive relationships with Child Care Council Staff in Dutchess and Putnam Office locations.
- Maintain communication with Registration Supervisor and Registrars at Dutchess and Putnam Office to ensure safety and accountability during onsite visits and travel.
- Maintain confidentiality with child care programs, complaints and within the NYS OCFS Child Care Facility System (CCFS).
- Putnam County Registrar will work in the Putnam Office 4 days per week and in the Dutchess Office 1 day per week, with a consistent weekly schedule agreed upon by the registrar, the Registration Supervisor and the Executive Director, maintaining flexibility for office coverage at the Dutchess County Office or special events/trainings as requested by Registration Supervisor and/or Executive Director.
- Putnam County Registrar will maintain communication with Executive and Assistant Directors regarding any issues that arise with the Putnam office location.
- Perform other related duties as assigned.
Hours:
- 9:00am to 5:00pm
- One hour lunch break
- All time is tracked through clocking system
Position Qualifications:
Educational/ Training
- Degree: Bachelor's Degree preferred
- Major: Early Childhood Education, Child Development, Social Work or related Field
Position Requirements:
- Meet the travel requirements of the position as needed.
- Must have a valid driver license and reliable transportation
- Excellent customer service skills
- Computer knowledge
- Bilingual desirable
